Workplace Fairness Ombuds offer an opportunity for your employees to discuss workplace concerns and resolve issues. Whether mediating disputes or helping you to plan and practice for a difficult conversation, Workplace Fairness Ombuds are there to advocate for fairness while listening and supporting managers and employees from all levels of your organization who are dealing with problematic issues.

How Do I Connect with a Workplace Fairness Ombuds?

The WFI Ombuds Office offers fairness and Ombuds services for organizations on a contract basis. We have established three offices across the country: Toronto, Calgary and Ottawa. From these offices we provide Ombuds and fairness services throughout Southern Ontario, the National Capital Region including Quebec, and Alberta. We also provide a virtual Ombuds service across the world.

Through the WFI Regional Offices we can offer any combination of the above services on site at your location for your convenience. If you have the right facilities, we can convene mediations, undertake systemic investigations, coach, facilitate and rebuild workplace relationships at your offices. Alternatively, we can arrange for suitable facilities in your area.

WFI Virtual Ombuds Office
Through the wonders of online technology, we are able to offer many of the above services across the world through meeting software and other innovations. We will work with you to set up the connection and appropriate tools to take advantage of our virtual office service. In some cases we can also provide limited site visits and service.

Our Prices

Generally, our services are provided at an hourly rate plus preparation and long distance travel time. However, our package rates reduce our total hourly rate depending on your needs.

Packages
We offer service packages for both our regional and virtual offices. These packages are designed to reduce your costs on an ongoing basis while maintaining a high level and quality of service. They are also designed to offer you a holistic approach to conflict risk mitigation.

One of the advantages of all the packages is that you can chose to devote unused hours to workplace training to enhance working relationships and reduce further risks of negative conflict. Nearing the end of your contract term we will work with you to assess your training needs and the hours you have available. Together we will develop a plan to effectively use your remaining hours. Some organizations request specific training related to these fields, like:

  • How to run an effective meeting
  • Time management
  • Managing in high stress
  • Dealing with difficult behaviours
  • Communication skills
  • How to improve team dynamics
  • Change management
The WFI Ombuds Office responds to all requests for specialized training. We are able to develop and deliver most HR related training within the contract term.

Basic Ombuds Package per annum

The basic package involves the following services:

  • A one-day fairness assessment of your existing workplace conflict management system with suggestions for improvement on an annual basis
  • Up to 40 hours of service involving any service of your choice listed above.
This package is designed to offer the minimal service necessary to maintain a healthy work environment and mitigate the risks associated with unresolved conflict in the workplace. This service is meant for small business and not-for-profit organizations . Many such organizations focus more on the training and policy review aspects of the service. They are also interested in the annual assessments as a way of continuously improving their organization.

Intermediate Ombuds Package per annum

The Intermediate Package is designed for medium sized organizations that do not have the resources for an in-house service but see a need to maintain and enhance relationships and civility in the workplace.
This service includes:


  • A fairness assessment involving both a one-day review of your conflict management system and an annual confidential survey of your workplace participants. This is a more rigorous and meaningful assessment than in the basic package. It is designed to enhance participation in the success of the organization.
  • Up to 100 hours of service involving any service of your choice listed above.

Advanced Ombuds Package per annum

This package is designed for medium sized organizations that require significant Ombuds services because of the nature of their workplaces. Often clients whose participants are experiencing high levels of stress and conflict in the workplace will begin with this package for the first year and then move to the Intermediate Package in subsequent years. The advantage of this package is higher concentration of service hours that may be necessary to deal with a highly conflictual organization. This package includes:

  • A fairness assessment involving both a one-day review of your conflict management system and an annual confidential survey of your workplace participants. This is a more rigorous and meaningful assessment than provided in the basic package. It is designed to enhance participation in the success of the organization.
  • Ongoing monitoring and record-keeping of Ombuds Office visitations and feedback to the organization about predominant sources of conflict and unfairness.
Full Service Ombuds Package per annum

This service is meant for large organizations that choose not to have an internal Ombuds function. These organizations see many advantages to having an external Ombuds function, including:

  • Lower overall costs
  • Increased impartiality
  • More secure confidentiality
  • Direct reporting relationship to organizational leadership
The full service package can involve the following:

  • An on-site presence of one-half day per week for 50 weeks of the year. During this on-site presence the Ombuds can be personally visited by workplace participants and initiate the appropriate conflict management option listed in the above services.
  • The Ombuds will manage offsite secure record- keeping and prepare annual reports for the organizational leadership.
  • A fairness assessment involving both a one-day review of your conflict management system and an annual confidential survey of your workplace participants. This is a more rigorous and meaningful assessment than in the basic package. It is designed to enhance participation in the success of the organization. In addition the Ombuds will conduct strategic focus groups to add to the data.
  • Lunch and learn sessions for workplace participants on a quarterly basis on a topic chosen by the participants through a survey.
